Define the entry sequence

For each opening or vehicle entrance, identify who approaches, how authorization is established, who can approve an exception, and what record is needed. A gate permission does not automatically grant entry to a warehouse. A credential assigned to an employee does not establish that every person accompanying that employee is authorized.

Map public, employee, service, and restricted routes. Include shared entrances and landlord responsibilities. For a property with several buildings, define which permissions apply across the site and which belong to a single location.

Build credential roles around real jobs

List employee groups, managers, cleaning staff, maintenance, vendors, and temporary contractors. Set the required schedules and approval process before configuration. Define who can add a user, change a role, remove access, and review exceptions.

Discuss credential options in relation to administration, supported equipment, and the owner’s policies. Keycards, fobs, and supported mobile credentials can each have a role. Confirm the actual platform behavior, replacement process, recurring charges, and any dependency on a personal device or external service.

Coordinate the complete door assembly

Review the door, frame, hardware, closing condition, power, reader, contact, and communication path. A reader is only one part of controlled entry. Assign responsibility for required door repairs and specialist work before treating an opening as ready for commissioning.

Exit, accessibility, fire-alarm interfaces, and life-safety requirements must be coordinated with the responsible professionals and authorities. Describe approved operation during normal use and relevant failure conditions. Do not assume a generic lock behavior fits every opening.

Make intercom calls actionable

Document call destinations during staffed and unstaffed periods, the person expected to answer, the information used to verify a visitor, and the approved release action. Include missed calls, unavailable staff, and a failed device in the operating procedure.

Check camera view where included, speech intelligibility, background noise, lighting, and the intended answering device. Demonstrate the workflow with the staff who will use it. A successful call to an installer’s phone does not establish readiness for the customer’s daily operation.

Separate gate authorization from gate safety

At a vehicle entrance, define stopping positions, employee and delivery flows, visitor instructions, and who manages an exception. Coordinate any recognition technology with the approved entry procedure and a fallback for unreadable or unexpected results.

Powered gate movement, entrapment protection, emergency access, and related safety equipment belong in a qualified specialist’s scope. Cameras and ordinary access events do not replace those protections. Coordinate the security system’s interface with the approved gate design.

Test permissions, records, and outages
